The Maryland Department of Business and Economic Development is seeking qualified applicants for the position
of Office Secretary within its Division of Tourism, Film, and the Arts, Maryland State Arts Council, whose
primary function is to provide support to agency administrative and program operations. Tasks include responding
to inquiries, in-person, email and phone; receiving and directing visitors including artists, arts organizations,
grant panelists, committee members, and Council and Commissions members; preparing information packets,
composing documentation to accompany contracts; preparing monthly reports for fiscal officer; assisting with
reconciliation of database information to state’s accounting system; assembly and distribution of materials to panel
members; and provide support to fiscal and program staff. Additional responsibilities include acting as liaison for
MSAC building management issues/services and janitorial issues/services.
Candidates should be well-organized, self-motivated, and able to work independently. Applicants must possess
excellent interpersonal, written, and oral communication skills; excellent secretarial skills; a good work and
attendance record; and an aptitude for detailed work. An excellent telephone manner is a must. Applicants must
also be proficient in the use of Microsoft Word, Google Mail, Excel and Access or relevant software.
Candidates must possess a high school diploma or a State high school equivalence certificate and have three years’
experience in secretarial work involving the use of a personal computer, or equivalent education and experience.
Additional secretarial or clerical experience may be substituted on a year-for-year basis for the required education.
Thirty credit hours with a major in secretarial science or office technology from an accredited college may be
substituted at the rate of thirty credits for one year of experience for up to two years of the required experience.
Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer in
Administration classifications or Administrative, Clerical, or Office Services specialty codes in the Administrative
Support field of work on a year-for-year basis for the required experience. Knowledge of the state financial
management information system (FMIS) is desirable.
