The Baltimore Museum of Art (BMA) seeks to fill the position of Executive Assistant to Director & Manager of Board Relations. This critical position serves as liaison on behalf of the Director to staff, the public (including museum professionals, dignitaries, and government officials), as well as the Board of Trustees. This position oversees all aspects of administration for the Director’s and Board of Trustees, from significant project management to day-to-day operations, and requires high motivation and commensurate judgment and professionalism.
The Executive Assistant to the Director & Manager of Board Relations is a highly visible position and serves as a key liaison between the office and internal and external constituents including BMA staff, patrons, and Trustees, and elected officials, maintaining the highest level of institutional service, judgement, discretion, and confidentiality. This position is a member of the Senior Leadership Team, manages the administrative assistant to the Director, and is also responsible for a wide range of administrative activities.

This full-time, exempt position reports to the Dorothy Wagner Wallis Director.
RESPONSIBILITIES
Responsibilities include but are not limited to:
· Create a welcoming and friendly atmosphere through a positive attitude, cooperation, willingness to take on any task at hand, and an awareness of the needs and concerns of others.
· Supervise full-time Administrative Assistant who schedules the Director’s daily calendar and internal and external appearances, including any necessary travel accommodations
· Provide excellent guest service, problem-solve, and satisfy internal and external customers as necessary.
· Anticipate the Director’s needs and proactively bring together appropriate people and resources to support the Director in addressing issues.
· Act as liaison between the Director’s Office and internal and external constituents, including BMA staff, Trustees, consultants, elected and appointed officials, members of Friends Groups, et al.
· Acts as a Board Liaison with a keen eye to board relations and governance, responsible for taking minutes at full Board, Executive and Government committee meetings
· Maintain, update and circulate bylaws and other governance documents.
· Assist with significant institutional projects, such as exhibition and program planning, fundraising planning and strategic planning.
· Works in partnership with the Director and the Advancement team on major individual donors, donor research, named spaces, credit lines
· Support the Director as a trusted advisor.
· Work collaboratively across the museum and represent the Director at cross-departmental meetings and to act as her voice in her absence.
· Assist in preparing presentations and remarks.
· Manage the development and coordination of office budgets.
· Initiate all correspondence including phone calls, email, mail and other written communication.
QUALIFICATIONS
· Bachelor’s Degree or professional experience equivalent
· At least 5 years of executive assistant/office management experience or its equivalent, including supervising staff
· Demonstrated ability to handle confidential information effectively
· Ability to work independently and respond fluidly in an energetic and dynamic environment
· Ability to manage sensitive communications and situations independently and with discretion -
· Strong organizational and project management skills
· Deep understanding of technology and its use in the museum as well as the office environment.
· Highly proficient with computer software including but not limited to, Microsoft Office including extensive experience with PowerPoint and Excel, and social media
· Excellent written and verbal communication skills
· Strong interpersonal skills and good judgment. Interest in collaborating with a wide range of stakeholders and constituents.
