The Baltimore Museum of Art (BMA) seeks a full-time Advancement Manager to be an integral part of the BMA’s Advancement team. The Baltimore Museum of Art is a world class, internationally recognized museum, recently ranked by the Washington Post as one of the top 20 museums in the United States. The ideal candidate will be highly organized and oversee the museum’s fundraising database and provide essential support for data-driven development strategies. This role is responsible for maintaining and optimizing the BMA’s donor management systems, ensuring data integrity, and supporting the Advancement team’s fundraising, stewardship, and reporting needs.
This role requires a strong background in database management, gift processing, and reporting, and will play a pivotal role in supporting a culture of philanthropy rooted in accuracy, transparency, and operational excellence.
This position will also support the Senior Director of Advancement including, but not limited to, writing donor gift acknowledgements, conducting donor research, and supporting special events.
This full-time, exempt position reports to the Senior Director of Advancement.
RESPONSIBILITIES
Responsibilities include but are not limited to:
Development Systems
- Serve as the primary administrator of the donor database (Raiser’s Edge), ensuring clean, organized, and up-to-date records and reports
- Maintain high standards for data integrity, consistency, and confidentiality in all donor records
Reporting & Analysis
- Generate and analyze reports and dashboards for gift tracking, fundraising performance, and donor trends
- Provide the Advancement team and senior leadership with data insights to inform strategic fundraising efforts
- Create ad hoc queries and reports for internal meetings, board materials, and strategic planning
Support for Senior Director of Advancement
- Manage trustee annual giving and special event and project support
- Draft personalized donor gift acknowledgments and correspondence
- Conduct background research on individual, foundation, and corporate donors and prospects to support cultivation and solicitation strategies
- Assist in coordinating stewardship actions and tracking donor interactions across departments
Budget & Administrative Operations
- Track and reconcile departmental budgets and expenses, working closely with Finance to ensure accuracy and compliance
- Coordinate quarterly budget projections and reporting for the Advancement department
- Support the organization of internal team systems, calendars, and operational workflows to maximize efficiency
Departmental Support & Training
- Provide onboarding, database training, and technical support for Advancement staff
- Lead or support system upgrades and the implementation of tools or integrations that enhance fundraising capabilities
- Help coordinate donor stewardship events, mailings, and other cross-functional efforts as needed
QUALIFICATIONS
- Bachelor’s degree or equivalent professional experience required, certification in database management, nonprofit administration, or fundraising operations a plus
- 3–5 years of experience managing donor databases (preferably Raiser’s Edge), development reporting, and gift processing
- Strong writing skills, especially in donor communications and correspondence
- Demonstrated experience in donor research and budget tracking within a nonprofit setting
- High proficiency in Microsoft Office, especially Excel; familiarity with data analytics or visualization tools preferred
- Excellent project management, organization, and interpersonal communication skills
- Ability to maintain confidentiality and demonstrate discretion when handling sensitive donor information
