Data Management Assistant

The Data Management Assistant supports various aspects of data collection and analysis at Maryland Humanities, maintaining data quality and providing support to the Program Officer for Traveling Exhibitions & Program Evaluation and Director of Advancement with program-specific and organization-wide data needs.

Classification: Non-exempt, permanent, full-time

Job Responsibilities:

Responsibilities include data collection and entry; developing and maintaining procedures for data collection, input, management and quality control; and generating statistics for reporting, development, and program evaluation. The Data Management Assistant reports to the Program Officer for Traveling Exhibitions & Program Evaluation.

Key Responsibilities:

  • Assist Program Officer with ongoing data collection, accurate data entry, and maintenance of various databases;
  • Assist Program staff with collecting, entering, and maintaining accurate Activities and Events Log data for all programs;
  • Assists in producing data analysis for reports and planning, including routine and special statistical reports for stakeholders, including program data summaries for the Board, grant applications, and NEH reporting;
  • Work with Program Officer in the analysis and interpretation of data and in the creation of data exports and dashboards;
  • Assist with the design and implementation of Monitoring and Evaluation Plans;
  • Identify problems with data quality and communicate issues with program staff and supervisors;
  • Assist Program Officer in the creation and maintenance of database documentation, instructions, and workflow; suggest and implement improvements to data management processes to increase accuracy and/or simplify/streamline activities;
  • Assist with regular data review and cleanup to maintain overall data integrity;
  • Manage customer relationship management (CRM) database, eTapestry, incl. gift processing and acknowledgment; preparing queries and exports for solicitation; preparing donor reports; ensuring data integrity; updating records; and other related tasks;
  • Serve as primary staff authority for eTapestry, incl. training of new of staff;
  • Prepare and process bulk mailings in conjunction with requesting staff members.

Organizational Responsibilities:

  • Share responsibility for anti-racist, multi-cultural organizational perspective and Maryland Humanities’ mission and vision;
  • Participate in staff meetings, as appropriate and as schedule allows;
  • Participate in performance evaluations and annual program planning.

Supervisory Responsibilities:

The Data Management Assistant does not supervise any staff, but should be comfortable re-directing staff in their performance as it relates to data quality.

Qualifications:

Education:

  • Minimum of a bachelor’s degree or an associate’s degree with equivalent experience with data collection, entry, and database management;
  • Experience with monitoring and evaluation is preferred.

Knowledge, skills and abilities:

  • Microsoft Office applications (Excel, Word, PowerPoint), with an understanding of database functionality and structure;
  • Experience with database management and knowledge of basic statistics;
  • At least one year of direct experience in data collection, data analysis, and statistical reporting;
  • Experience in data collection, entry, and data cleaning with large databases would be an added advantage, especially with eTapestry;
  • Dedication to incorporating racial equity into work;
  • Excellent written, oral, and interpersonal skills;
  • Must be self-motivated, detail-oriented, highly organized, and able to meet deadlines;
  • Ability to work well in a team environment;
  • Ability to work remotely, with a sound internet connection, and work in the Maryland Humanities office at 108 West Centre Street, Baltimore, at least once a week on Wednesdays.
