Accounting & IT Coordinator

Classification: Full-time, Exempt
Reports to:Director of Finance and Administration
Compensation: $36,000 - $40,000 annually

Overview: The Accounting & IT Coordinator assists the director with all accounting functions of the organization to ensure proper segregation of duties. Additionally, this position manages the technology needs of the organization with the support of the Director of Finance and Administration and outside consultants.

Principal Responsibilities:

Accounting – 85%

  • Process EFT deposits through Square and Patron Manager daily and enter into QuickBooks
  • Process accounts receivable, including invoicing, collections, and deposits weekly
  • Process accounts payable including ensuring authorization, data entry, and filing weekly
  • Collaborate with HR to enter payroll into QuickBooks biweekly
  • Administer staff credit cards, including transaction entry monthly
  • Process and submit state sale tax reports and payments monthly
  • Assist in creation of reports for funders, auditors, and regulatory bodies as needed
  • Monitor petty cash use and balances, including coin-operated laundry facilities
  • Assist in maintaining accounting schedules and making journal entries
  • Assist the Director of Finance in the creation of an accounting procedures and policies manual
  • Maintain digital and paper accounting filing systems

Information Technology – 10%

  • Act as 1st troubleshooter for all staff technology issues
  • Coordinate IT consultant work as needed
  • Maintain computer and accessories inventory
  • Purchase computers and accessories and oversee installation, as needed with approval of Director of Finance
  • Administer Office 365 and troubleshoot/create email addresses as needed
  • Work with Director of Finance on all technology strategy and planning

Other - 5%

  • Act as 1st backup to answer the phone, transfer calls, and help customers with tickets sales, donations, and questions; relieve front desk staff for temporary needs
  • Participate in and support key events: Board/Staff Retreat, Marquee Ball, Kite Fest, World Refugee Day, and Great Halloween Lantern Parade, and at least one Art to Dine For event. (This may require weekend attendance).

Requirements:

  • Experience with nonprofit bookkeeping; QuickBooks knowledge preferred
  • Database experience, preferably Salesforce/Patron Manager
  • Comfort with technology, Windows and Mac preferred
